It’s undeniable that business software like SAP, Salesforce, and Oracle E-Business Suite are extremely powerful. They literally run core processes at most of the Fortune 500 – from sales to purchasing to manufacturing to finance. However, email integration is one critical area where they do not fare so well.

Let’s first define what I mean by email integration. I’m not referring to simple email notifications from these systems, which all of them are capable of performing with a little bit of configuration. What I’m referring to is the ability to take action directly from your email without having to log in to those systems, thereby automating a lot of your tedious tasks. We all spend most of our day in our email clients, which means this type of integration is a huge opportunity.

To illustrate this concept, let’s consider a sales team. A typical sales rep spends a large part of the day entering email contents and phone calls into a CRM system. This process is so mind-numbing and time-consuming that many reps either skip it altogether or spend more time on this than they do on actual sales activities. There are a number of plug-ins out there that help make this a little easier, but these plug-ins are often platform-specific (PC or Mac, Outlook or Gmail) and they still require the rep to search for accounts, contacts, and opportunities.

Wouldn’t it be nice if this process could be completely automated? Wouldn’t it be nice if you could configure rules that allow you to dictate how this process is automated within your organization? You can using our ClearProcess.

The way it works is pretty simple. We set you up with a dedicated email address to be used any time you want an email to take action in your backend systems:

Once that email is sent to your prospect, the contents of the email are also sent to that dedicated email address which triggers ClearProcess. From ClearProcess, you can apply your business logic before finally saving that data in your system. A common set of rules would be to create a completed task in Salesforce with the contents of the email, then associate that task to the contact, account, and any opportunities that might exist on that account. The key here is that this is completely automated, platform-agnostic, and doesn’t require any special plug-ins.

The possible use cases for this are not limited to sales. Many of our customers have implemented email integration using ClearProcess for a number of processes, including:

  1. Oracle EBS Supplier Invoices – an authorized user replies to an email notification with the word “release” to release the invoice for payment in Oracle EBS.
  2. SAP Purchase Orders – an authorized user replies to an email notification with the word “approve” to release a purchase order in SAP.
  3. Zendesk Help Ticket – a user replies to an email with the word “close” to close the ticket in Zendesk.

The best part is that these examples and many more can be accomplished with ZERO custom code. That means no expensive consultants required and no stomach ulcers during system upgrades. If you’re interested in learning more, contact us here.
